How Can I Verify an Online Business?

Written by Christopher Krassnig - Founder - Kairos Exchange and ZenoX Media. Last reviewed 4 September 2026.

You verify an online business by reading its source systems yourself, not the seller's summary of them. Open the store's own order ledger and match it against every revenue claim. Refunds and the recent revenue trend sit in that same data. Two numbers do not: ad spend and processor payouts have no automatic feed on Kairos, so someone opens those accounts by hand, in the paid tier.

What Can You Prove from the Order Ledger?

Start with the store's own order export, because that is where money leaves a record. Sum the orders for the period the seller is claiming, subtract refunds, and set the total against the listing. Do it inside the live admin, on a screen you are driving, rather than from an image you were sent. Analytics answers a different question: it counts sessions, and a session is a visit, not a sale. Kairos publishes the same split as a count. 3 of its 8 checks read the Shopify order ledger and can pass the day a store connects: reported revenue against real orders, the refund rate, and the last quarter set against the one before it. Refunds are the one with a published line you can borrow: Kairos warns past 2% and fails past 4%. Those three are the ones you can settle without the seller's cooperation.

What Does the Order Ledger Not Cover?

4 of the 8 come back unchecked on a Shopify-only connect, and they are not one kind of gap. Two of them have no automatic source by design: ad spend and processor payouts. Kairos connects to Shopify and nothing else, so the ad account and the payment processor get opened by a person in the paid tier, or not at all. The other two, the chargeback rate and the paid traffic half of the concentration check, do have a real software source that Kairos has not wired in yet. Drift is separate again, because it measures this week's figures against an earlier snapshot and has nothing to compare until the second weekly run. For your own pass that turns into a shopping list: the ad account, the processor statements, and a straight answer about disputes.

What Can a Seller Still Game?

A screenshot is the easy one to catch, because a dashboard image can be rewritten in the browser before it is captured. The harder tricks survive a live call: a date range that stops before the bad quarter, a different store's admin, gross figures handed over where net was asked for. So pick the period yourself, and ask for the raw export rather than the view. Empire Flippers names dashboard access as its preferred method on its published vetting page, with revenue screenshots as the stated fallback when a seller declines it. A brokerage that writes a fallback into its own process expects some sellers to refuse, and your answer to a refusal is allowed to be no. Then there is the part no data check reaches: verification proves what the connected data can prove, orders, revenue and refunds, as of the date it was run. What happens next quarter is not something any check can prove.

How Do You Verify a Private Sale?

A private sale hands you no badge to read, so every check comes from you or from someone you pay. Ask for read-only access to the store admin, the ad accounts, and the bank and processor statements for the period the listing claims. Ask for ID and proof the seller owns the store and the company behind it, then ask who else holds a share, because co-owners nobody mentioned unwind signed deals. Kairos sells that work as a buyer-paid report on any listing anywhere: a person opens the Shopify admin, the ad accounts and the bank and Stripe statements, and ties every line of the profit and loss back to them. It costs EUR 1,500 to EUR 5,000 for stores up to EUR 2M, quoted above that, and the report lands 5 working days from kickoff. Kairos will not sell you a report on a listing it already verified for the seller, because you already have that memo.

Buying a Store Somewhere Else?

Kairos Due Diligence works on any deal - Flippa, a broker, a private sale. A person reads the store's raw numbers and writes you a report. If the deal is bad, the report says walk away. From EUR 1.5K, no account needed.
